CRM ownership before automation
Give a lead one accountable person and a next action before adding another capture flow.
The situation
Automation can increase the number of unowned records if the receiving system and escalation rule are unclear. Establish a small source of truth first.
Work through it
- Name the system where the current status lives. Define one owner, backup and due time for new inquiries.
- Create a short set of statuses that describe action rather than vague optimism: new, assigned, waiting, next step, closed.
- Audit a week of unassigned and duplicate records. Repair the point where ownership fails before adding a new integration.

Boundaries
- A CRM purchase does not create accountability by itself.
- Keep private notes limited to what the next owner needs.
