Missed-call recovery and team handoff

Set a callback owner and record the outcome of every relevant missed call.

The situation

The useful metric is not simply fewer missed calls; it is whether a relevant caller receives a timely, informed next action. Start with a short manual baseline.

Work through it

  1. Classify a recent sample by new inquiry, existing customer, support or irrelevant. Note when calls arrive and whether staff was available.
  2. Assign callback ownership and a deadline based on staffed hours. Give the responder enough context to avoid repeating the caller's request.
  3. Review callback attempts, completed conversations and booked next steps weekly. Test a shared phone workflow only if the manual rule exposes a real coordination gap.

  • Check number and regional availability before evaluating any phone platform.
  • Do not send promotional texts as a substitute for returning a requested call.
