Stage 6: follow up with a reason

Keep the promised next action visible and within the person's contact expectations.

The situation

Follow-up should answer a known question or complete a promised action. It should not turn an inquiry into an endless sequence simply because a tool makes that easy.

Work through it

  1. Record the next action, date and owner when the conversation is still fresh.
  2. Separate one-to-one replies, opted-in marketing messages and B2B outreach in the workflow. Review the basis and suppression rule for each.
  3. Start with a small set of overdue cases and check whether the action was useful. Stop or revise messages that generate confusion or complaints.

What to measure

  • Promised next actions completed on time
  • Relevant replies from follow-up
  • Unsubscribes, complaints and stopped messages

Boundaries

  • No email platform can create permission retroactively.
  • Avoid measuring sent messages as completed follow-up when nobody owns replies.
